Cancellation & refund policy

The minute you enter one of our races part of your entry fee goes to the taxman for VAT, administration costs and banking charges to process your entry and payment.

The costs associated with this event start accruing even before the event date is announced and the requirement to commit expenditure year round to the organisation of an event on a single day is the reason why most races terms and condition are no refunds. Whilst we may not be able to offer a full refund on all items we believe we have set out a varied selection of options available to our runners, which are covered below. IF YOU CAN NO LONGER TAKE PART (NOT THROUGH INJURY)

We understand that there can be many reasons why you can no longer take part, which could be outside of your control. Most races do not offer any form of refund in these circumstances and like them we are also unable to offer a refund on all items. However, in fairness to all of our runners you can chose from one of the following options:

  1. Request to defer your entry to the following year for an administration fee of £5. Please note some items cannot be deferred; in most cases, these are non-transferable and non-refundable, once we receive your request we will email you details of any other items you have purchased and whether they will be refunded or deferred.
  1. Request to transfer your entry to another runner for a £10 fee, paid by the new runner. Please note any additional items you purchased such as T-shirts, iTAB, race pack delivery etc. cannot be transferred to another runner; in most cases these are non-refundable, however once we receive your request we will email you details of any other items you have purchased and whether they will be refunded or sent to you.

WITHDRAWLS DUE TO INJURY

Unlike many mass participation races we offer a very generous deferral policy if you are injured and cannot take part. To request a deferral due to injury your request must be supported by a Doctor’s or Physio note.

Once we receive your supporting documents we will assess your eligibility and email you our decision, if your deferral request is confirmed your race entry to the following year will be FREE of CHARGE.

To apply for a deferral please complete the short Deferral Request Application form, a link will be published here shortly.

Once you have completed the short form please email your supporting evidence to info@goldlineevents.co.uk with a note to say that it is your supporting documents and include your full name (as it appears on your order) and your entry order number.

Once an Entry deferral request has been accepted they are non-refundable. Deferred entries are also non-transferable and can only be deferred to the following year's race and cannot be rolled over to another year. Please note some other items cannot be deferred; in most cases, these are non-transferable and non-refundable, this will be clear on the Deferral Request Application form so please take the time to read this information before completing your request.

WHAT IF THE RACE IS CANCELLED

We reserve the right to postpone or cancel the race due to unforeseen or unavoidable circumstances outside of our control. If this happened all runners will receive notification by email including more details on the following options available to you:

  1. Your entry will automatically be transferred to the equivalent Virtual event. Once complete you’ll receive your medal and a 50% discount off the following year’s event. If you are unable to take part in the Virtual Event and you have not received your race bib, you can request one of the following:
  2. Defer your entry to the following year free of charge; or
  3. Transfer your entry to another runner for a £10 fee, paid by the new runner.

Please note any additional items you purchased such as T-shirts, iTAB, race pack delivery etc. cannot be deferred or transferred; in most cases these are non-refundable. Details of how these items will be processed will be on the notification email sent to all runners.

Discounted or free entries cannot automatically be transferred or deferred to another year. These will be treated on an individual basis upon receipt of your email.

TRANSFERRING TO ANOTHER RUNNER

As your entry is linked to your profile, you are unable to transfer it to another runner. If you would like to transfer your entry to another runner we can administer this for you for a charge of £10 (paid by the new runner), provided that your race pack has not been processed, please email info@goldlineevents.co.uk with the new runner's full name, email and mobile number, together with your full name, your order number and order email confirmation.

Any additional items you purchased such as T-shirts, iTAB, race pack delivery etc. cannot be transferred to another runner; in most cases these are non-refundable, however once we receive your request we will email you details of any other items you have purchased and whether they will be refunded or sent to you.

Please note that this will not be possible once the race pack has been issued and under no circumstances can race bibs be swapped after this stage.

TRANSFERRING TO ANOTHER GOLDLINE EVENT

Entries cannot automatically be transferred from one Event to another. If you are unable to attend an Event and would like your entry transferred to another please contact the team at info@goldlineevents.co.uk with your request. Each request is individual and as such will be assessed on an individual basis. An administration fee of £5 will be payable to complete the transfer.

Any additional items you purchased such as T-shirts, iTAB, race pack delivery etc. cannot be transferred; in most cases these are non-refundable, however once we receive your request we will email you details of any other items you have purchased and whether they will be transferred or sent to you.

DUPLICATE ENTRIES

Duplicate entries made in genuine error will be refunded in full. However, we reserve the right to cancel all duplicate entries without refund if we have reason to believe that duplicate entries have been deliberately made with the intention of re-sale.

MERCHANDISE REFUNDS

Please note if you apply for a deferral or entry transfer and have received any merchandise purchased you will not receive a refund for these items unless they are faulty or damaged and you return them unused, in the same condition as they arrived with a written notice of the defect.

If your entry has been transferred or deferred and you have not received any merchandise you purchased, you will either receive your merchandise in the post, a refund or it will be transferred or deferred with your race entry. At the sole discretion of the race organiser, you will be notified when your deferral/transfer has been processed.
